CALL FOR AN EVENT MANAGEMENT PROVIDER TO IMPLEMENT IN LEBANON

Activity 2.2.3 Organization of press conferences - Activity 2.2.2 Organization of journalist on site-visit

And Activity 2.5.3 Final conference

AS PART OF THE MAIA-TAQA ENI CBC MED PROGRAM’S

 

ELCIM at the Industrial Research Institute (IRI), the Lebanese partner of the MAIA-TAQA project, is putting out the current call-in order to find appropriately qualified, experienced individuals or institutions to apply as an event management provider to take in charge the organization and implementation of the MAIA-TAQA project pilot launch event and the project final conference in Lebanon.

 

A – Company profile 

Experience in events management and /or organization of similar management activities.

B- Responsibilities

The Call for Expression of Interest (EoI) is taking place within the project MAIA-TAQA whose objective is to develop and promote the technological cooperation among EU/Med SMEs.

Required tasks and services for the Pilot launch event management and the final conference in Lebanon include the following:

1. Securing and rental space area in Actea 2023 – July 5-7 for the final conference

2. Provision of audio-visual equipment for the possibility of presentation by speakers/presenters as well as a microphone installation.

3. Prints and design that will accompany the event (banners, wall of fame, leaflets)

3.1. Printing of 150 color leaflets, 2 sides, size A4, trifold, on paper weighing 135 gr,

3.2. Printing of 4 color banner, size 80x200cm polypropylene (printing and mechanism place of delivery of 3.1-3.2 Industrial Research Institute - Haddath

3.3. Printing of 1 wall of fame 2mx3m flex printing place of delivery NDU - Jeita

4. Video and photographic coverage of both events

4.1. Technical supervision, direction, text and material editing, editing and sound editing for the production of two (2) Videos. Activities, actions and interviews with experts and participants will be videotaped throughout the event, where the selected small and medium enterprises from the Innovation one stop shop beneficiaries will be presented as well as the actions of the project.

5.Catering, at the event there will be two (2) coffee breaks during the final conference and one (1) dinner for 50 people. One cocktail during the pilot launch for 50 people.

6.Sending conference invitations from the Lebanese partner side.

7.Secretarial support and management (monitoring of the visa issuance process, securing corporate rates at the hotel, etc.)

8.Transportation facilities of MAIA-TAQA team members and the speakers to the venue.

9.Securing presence of the media with online and TV stations coverage of the press conference.

10. Securing media hits and press releases in the media covering the pilot launch.

C- Financials

Upon approval of invoice by Project Manager, the cost of the MAIA-TAQA pilot launch and final conference events will be covered totally by the Industrial Research Institute.

D- How to apply

All the interested parties can submit a financial proposal in response to this term of reference.

On the basis of applications received and in compliance with the stated requirements the selection committee will evaluate all received applications and select the appropriate party based on the offer, and ability to fulfill requirements.
